Website Management Policy
1 Purpose
To ensure accuracy, consistency, integrity, and protection of the identity and image of the Firm by providing a set of minimum standards and guidelines for its website:
- To identify key contacts to enable content accuracy.
- To provide a framework to enable communication and procedures.
2 Policy Statement
The following guidelines have been developed to provide assistance for those designing and developing web pages for the Firm. The impetus for the guidelines reflects the need for the Firm to ensure that all aspects of its website reflect the high presentation standards on which the Firm prides itself.
The website is an extension of the Firm’s corporate visual style that aims to produce a consistent visual image for the Firm across different media. Material on the Firm’s website should adhere to the guidelines outlined in this policy.
3 Principles
Minimum Standards
- A minimum number of requirements exist for all the Firm’s website pages:
- The page should not include content which breaches any intellectual property rights of third parties;
- The page should not be unlawful;
- Key contacts who create web pages as well as content for the website should be aware of the accessibility requirements under The Disability Discrimination Act 2005;
- Identify the Firm on the homepage and provide a link back to the home page;
- Identify the department or organisational unit publishing the page;
- Provide contact information for the department on each page;
- Contain a date on which the information was last updated;
- The page must use correct grammar and be devoid of spelling errors;
- In order to minimise duplication, links should be provided for information that is already on the Firm’s website;
- Long web pages should include shortcuts to various sections including a link to the top of the page;
- Web page links should all be operational;
- Text must be legible;
- Web pages should run satisfactorily on both Netscape and Explorer.
4 Policy Content
The following checklist is to ensure that web pages comply with the Firm’s design and content elements.
- Design (Format & Presentation) Elements Guidelines
- Conforms to accessibility requirements;
- The browser has clear and main navigation system;
- All pages are linked back to their site home page;
- Is accessible by both Internet Explorer and Netscape browser, version 4 and above (on Macintosh and PC);
- All pages are accompanied by the official disclaimer that the page contents are not routinely regulated and do not necessarily reflect the views of the Firm.
Content Elements
- Site home page displays an approved Firm logo;
- Site home page contain links to the following;
- The Firm’s web policy;
- The Firm’s home page.
- Site home page contains a copyright notice;
- Site name contains a disclaimer for liability of information;
- Site home page contains contact information;
- Site home page contains a link for reporting problems about the website to the website administrator;
- Each we page has details of the author and last date modified
Accessibility
The issue of accessibility is of importance in complying with the Disability Discrimination Act and ensuring all persons have an equal opportunity to access data on the Firm’s website and that accessibility requirements must be taken into account in the use of colour, style sheets, audio and visual content on the Firm’s website; and technological alternatives are provided.
Server Names
All material should only placed on servers with a valid server entry.
Viruses
The question of viruses is a key concern of the Firm. In order to maximise staff productivity it is essential that all materials be scanned for viruses prior to being placed on the website.
Online Information Management of Content
Online information is defined as text, illustrations and links which form part of a body of material intended to be conveyed to users of the Firm’s website. Documents published on any website are public by default. Some material may need to be restricted to Firm use only. All material given to key contacts should have been cleared for copyright, legality, applicability and sensitivity to user groups.
Key contacts are defined as the people responsible for updating and/or maintaining the website content.
Content is maintained by the use of trigger calendar, which allows key contacts and others responsible for content renewal a series of reminders at specific times.
Content should adhere to the following standards:-
- Pages should be grammatically correct with no spelling errors. Authors are strongly encouraged to have their pages reviewed by another party for typographical errors and similar problems.
- Information should be as current and accurate as possible. Inaccurate information is to be reported to a key contact;
- Pages must not include content which places the Firm in breach of intellectual property rights of third parties;
- Key contacts who create website pages as well as content for the website must be aware of the implications and comply with The Disability Discrimination Act 2005;
- All website pages must comply with the Firm’s legal requirements to provide accessible website pages with all information systems accessible to disabled persons.
- Consideration should be given to users operating in very different contexts. Cultural and language differences, technological limitations; audio, visual and comprehension difficulties of users must be borne in mind.
- Include meta information (both descriptions and keywords) so search engines may find the website.
- Technical Guidelines
Technically it should be possible to cater for a large variety of browsers, platforms and computers.
- Style Checklist
A check mark (■) indicates a required element. An asterisk (*) means the element is strongly recommended.
